For our client, UK based investment company which is opening its Milan's branch, we are looking for an Executive Office Assistant. The Assistant will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety developing intra-office communication protocols, streamlining administrative procedures, inventory control, front house duties.
She/He will have full responsibility for executive support to the English native speaker Chief Operating Officer.

Responsibilities
- Manage executives' schedules, calendars and appointment
- Organize office operations and procedures
- Coordinate with IT department on all office equipment
- Perform front of house duties and provide general support to visitors
- Responsible for creating PowerPoint slides and editing presentations
- Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled
- Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts and office systems
- Participate actively in the planning and execution of company events
- Ensure filing systems are maintained and current
- Collect invoices and documents for reporting to HQ
- Establish and monitor procedures for record keeping
- Ensure security, integrity and confidentiality of date
- Design and implement office policies and procedures
- Monitor and maintain office supplies inventory, review and approve new supplies acquisitions
The successful candidate must be energetic and professional and have experience in handling a wide range of administrative and executive support related tasks and be able to work independently with little or no supervision. The person must be well organized, flexible and enjoy the administrative challenges of a diverse role

- Fluent English, both written and spoken
- Proven office management, administrative or assistant experience, at least 5 7 years of experience
- Knowledge of office management responsibilities, systems and procedures
- Excellent time management skills and ability to multi-task and prioritise work
- Able to perform well in a fast paced environment
- Ability to work independently
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Proficient in MS Office
- Knowledge of data and administrative management practices and procedures
- Knowledge of clerical practices and procedures
